Getting Started

LeadLog helps you capture contact information from people you meet at trade shows, conferences, and networking events. Instead of collecting business cards that pile up on your desk, you can record a quick voice note or snap a photo, and our AI will extract all the details for you.

Creating Your Account

  1. Visit app.leadlog.app on your phone or computer
  2. Choose to sign in with Google (recommended) or create an account with your email and password
  3. Enter your first name and surname
  4. Give your workspace a name (e.g., "Trade Show 2024" or "My Leads")
  5. Tap Get Started and you're ready to capture leads!
Tip

If you signed up with email, check your inbox for a verification email. While not required, verifying your email helps secure your account.

Installing as an App

LeadLog works in your browser, but for the best experience, install it as an app on your phone:

On iPhone (Safari)

  1. Open app.leadlog.app in Safari
  2. Tap the Share button (square with arrow pointing up)
  3. Scroll down and tap Add to Home Screen
  4. Tap Add in the top right

On Android (Chrome)

  1. Open app.leadlog.app in Chrome
  2. Tap the Install banner that appears, or tap the menu (three dots) and select Install app
  3. Tap Install to confirm
Why Install?

Installing LeadLog gives you a dedicated app icon, full-screen experience, faster loading, and better offline support. It's especially useful when you're at a busy event.

Capturing Leads

LeadLog offers three ways to capture leads. Use whichever method works best for your situation - or combine them for maximum efficiency.

Voice Capture

Voice capture is the fastest way to record a lead. Just talk naturally, mentioning the person's details, and our AI will extract all the relevant information.

  1. From the Capture screen, tap the large Voice button
  2. When prompted, allow microphone access (you only need to do this once)
  3. Start speaking when you see the recording indicator
  4. Mention any details you want to capture: name, company, email, phone, job title, website, or notes
  5. Tap the Stop button when finished
  6. Wait a few seconds while our AI processes your recording
  7. The lead will appear in your leads list with all extracted information

What to Say

Speak naturally, as if you're making a note to yourself. For example:

"Just met Sarah O'Brien from Tech Solutions Ireland. Her email is sarah@techsolutions.ie and her number is 087 123 4567. She's the Head of Marketing and is interested in our enterprise package. Follow up next Tuesday about the demo."
Voice Tips

• Spell out unusual names or email addresses
• Speak clearly, especially for phone numbers
• Include follow-up notes while the conversation is fresh
• It's OK to pause - the AI handles natural speech patterns

Business Card Capture

Got a business card? Take a photo and our AI will read all the text and extract the contact details automatically.

  1. From the Capture screen, tap the Card button
  2. When prompted, allow camera access
  3. Position the business card in frame - try to fill most of the screen
  4. Tap the capture button to take the photo
  5. Review the image and tap Use Photo (or retake if needed)
  6. Wait while our AI extracts the text from the card
  7. The lead will appear in your leads list with extracted information
Photo Tips

• Ensure good lighting - avoid shadows across the card
• Hold the card flat and steady
• Capture the whole card, including edges
• For double-sided cards, add the second side as an additional image (see Adding Images below)

Adding Images to Leads

You can attach up to 4 images to any lead - perfect for brochures, product sheets, handwritten notes, or additional reference materials from your conversation.

  1. Open the lead you want to add images to
  2. Scroll to the Images section
  3. Tap the + Add Image button
  4. Take a new photo or select from your gallery
  5. The image is automatically uploaded and saved

To view any image in full screen, simply tap on it. You can navigate between images using the arrow buttons, share images directly, or download them to your device.

Image Ideas

• Both sides of a double-sided business card
• Product brochures or spec sheets they gave you
• Handwritten notes from the conversation
• Whiteboard sketches or diagrams
• Booth photos for context

Manual Entry

Sometimes you just want to type in the details directly. Manual entry gives you full control over what gets recorded.

  1. From the Capture screen, tap Manual Entry
  2. Fill in any fields you have information for (all fields are optional)
  3. Set a priority if you want to flag the lead
  4. Add any notes about the conversation or follow-up actions
  5. Tap Save Lead
When to Use Manual Entry

Manual entry is great when you're adding leads from a sign-up sheet, transferring contacts from another system, or when you need to enter very specific information that might be misheard by voice recognition.

Managing Your Leads

Viewing Your Leads

Tap Leads in the bottom navigation to see all your captured leads. Each lead card shows:

Tap any lead card to open its full details.

Editing Lead Details

Need to correct or add information? It's easy to update any lead:

  1. Tap the lead you want to edit
  2. The Lead Details modal opens with all information
  3. Edit any field - changes are saved automatically as you type
  4. Tap the X or anywhere outside the modal to close it

For voice captures, you can also view the original transcript by scrolling down in the lead details. For card captures, you can view the original photo and any additional images in the gallery.

Setting Priorities

Prioritise your leads to focus on the most promising contacts first:

To set a priority:

  1. Open the lead details
  2. Tap the priority you want (Hot, Warm, Cold, or None)
  3. The priority is saved immediately
Priority Strategy

Set priorities immediately after a conversation while your impression is fresh. A quick "Hot" or "Cold" tap takes less than a second but makes a huge difference when you're reviewing 50+ leads after an event.

Filtering and Searching

When you have lots of leads, use filters and search to find what you need:

Priority Filters

Tap All, Hot, Warm, or Cold to show only leads with that priority.

Ownership Filters

In team workspaces, filter by who captured the lead:

Search

Type in the search box to find leads by name, company, email, or any other field. Search works instantly as you type.

Deleting Leads

To delete a lead, open its details and scroll to the bottom. Tap Delete Lead and confirm.

Note

In team workspaces, only the workspace owner can delete leads. This prevents accidental deletion of important contacts.

Working with Teams

LeadLog makes it easy for your whole team to capture and share leads. When you work in a shared workspace, everyone can see and work with the same leads.

Understanding Workspaces

When you sign up, you get your own personal workspace. You can also join team workspaces to collaborate with colleagues.

Think of a workspace like a shared folder - everyone in the workspace can see all the leads, but they're not visible to people outside the workspace. Each team member needs their own subscription to capture leads.

Inviting Team Members

If you're the workspace owner, you can invite others to join:

  1. Go to Settings
  2. Tap Invite Code
  3. Share the 6-character code with your team (by message, email, or just tell them)

Joining a Team

Got an invite code? Here's how to join:

  1. Go to Settings
  2. Tap Join Another Team
  3. Enter the 6-character invite code
  4. Tap Request to Join
  5. Wait for the workspace owner to approve your request

Once approved, the team workspace will appear in your workspace list. You can switch between your personal workspace and team workspaces at any time.

Approving Join Requests

If you're the workspace owner, you'll see a notification when someone wants to join:

  1. Go to Settings
  2. Tap Join Requests (you'll see a badge showing how many pending requests)
  3. Review each request and tap Approve or Reject

Managing Team Members

As a workspace owner, you can view and remove team members:

  1. Go to Settings
  2. Tap Team Members
  3. To remove someone, tap the X next to their name
Team Tip

At a trade show, have one person create a workspace and share the invite code with the whole team before the event starts. That way, all leads go into one shared pool that everyone can access.

Export and Statistics

After an event, you'll want to get your leads into your CRM or share them with colleagues who weren't at the event. LeadLog makes this easy.

Viewing Statistics

Tap Wrap-up in the bottom navigation to see your lead statistics:

Exporting to Excel

Export your leads as an Excel spreadsheet that you can open in Excel, Google Sheets, or import into your CRM:

Download Excel File

  1. Go to the Wrap-up screen
  2. Tap Export Excel
  3. The file downloads to your device automatically

Email Excel File

  1. Go to the Wrap-up screen
  2. Tap Email Excel
  3. Enter one or more email addresses
  4. Choose to export All leads or My leads only
  5. Tap Send

The Excel file includes all lead information in columns: Name, Company, Email, Phone, Job Title, Website, Notes, Priority, Capture Method, Date, and Time.

Export Tip

Email the export to yourself at the end of each day during a multi-day event. This gives you a backup and lets you start follow-ups before the event even ends.

Your Digital Business Card

LeadLog includes a digital business card feature that lets you share your own contact details quickly - no paper cards needed.

Setting Up Your Card

  1. Go to Settings
  2. Tap My Card
  3. Fill in your details: name, company, job title, email, phone, website
  4. Tap Save

Sharing Your Card

When someone asks for your contact details:

  1. Go to Settings
  2. Tap Share My Card
  3. A QR code appears on your screen
  4. The other person scans the QR code with their phone's camera
  5. They're taken to a page with your contact details, which they can save to their contacts
QR Code Tip

The QR code works even if the other person doesn't have LeadLog - they just scan it with their regular camera app. It's a great backup when you run out of paper business cards!

Plans and Pricing

Free Plan

LeadLog is free to use with some limits:

Pro Plan - €9.99/month

For unlimited lead capture, upgrade to Pro.

Upgrading to Pro

  1. Go to Settings
  2. Tap Account & Subscription
  3. Tap Subscribe
  4. Complete payment through our secure checkout (powered by Stripe)
  5. You'll have Pro access immediately

Managing Your Subscription

To update your payment method, view invoices, or cancel:

  1. Go to Settings
  2. Tap Account & Subscription
  3. Tap Manage Subscription
  4. You'll be taken to the billing portal where you can make changes
Cancellation

If you cancel, you keep Pro access until the end of your current billing period. Your leads are never deleted - you can always view and export them, even on the Free plan.

Frequently Asked Questions

Does LeadLog work offline?

The app loads offline if you've installed it, and you can view your existing leads. However, new captures (voice and card) require an internet connection because they're processed by our AI servers.

How accurate is the voice transcription?

We use OpenAI's Whisper, one of the most accurate speech recognition systems available. It handles accents, background noise, and natural speech patterns well. For best results, speak clearly and spell out unusual words.

What if the AI extracts something incorrectly?

No problem - just open the lead and edit any field. For voice captures, you can see the original transcript to check what was said. For card captures, you can see the original photo.

Can I use LeadLog on multiple devices?

Yes! Sign in with the same account on any device and your leads sync automatically. Changes made on one device appear on all others.

How do I switch between workspaces?

Currently, you work in one workspace at a time. To capture leads for a different workspace, you'd need to go to Settings and access that workspace's features. Full workspace switching is coming soon.

Is my data secure?

Yes. LeadLog uses Firebase, Google's enterprise-grade cloud platform. All data is encrypted in transit and at rest. We never sell or share your data with third parties.

Can I import leads from another system?

Currently, leads are added via capture or manual entry. If you have a specific import need, contact us at hello@leadlog.app.
